Update of October 5, 2026. Sections 4.1 to 4.3 now state that our servers are located in the United States, in our hosting provider’s data centres. Section 6 lists the categories of service providers and where they process information, section 9 describes the communication of information outside Quebec, and the new section 13 describes our use of artificial intelligence.
Update of September 28, 2026. Section 4.3 now specifies that our automated assistant may listen to and transcribe recordings of calls to our offices, and that its own calls are recorded and announced as such. The site no longer uses Google ad retargeting: the section that described it has been removed.
1. INTRODUCTION
Welcome to the InfoXtreme inc. website located at www.info-xtreme.com (the “website”). InfoXtreme Inc. takes the privacy and security of your personal information very seriously. To that end, we have put measures in place to ensure that all personal information we collect about you is protected by a set of robust business procedures and rigorous security measures. These measures ensure that your information remains confidential and is used only for the purposes described in this policy, unless the law authorizes otherwise.
We are committed to being transparent about our personal information handling practices. Accordingly, this privacy policy establishes responsible and transparent practices for the management of personal information and complies with the federal Personal Information Protection and Electronic Documents Act, as well as the similar provincial laws of Alberta, British Columbia and Québec.
2. APPLICATION AND SCOPE
This privacy policy applies to the personal information we collect when you interact with InfoXtreme inc. through the website or by other means.
This policy generally applies to all personal information (as defined below in the “Definition of personal information” section of this policy) collected about you by InfoXtreme inc. or anyone acting as an agent or on our behalf, through the website or any other interaction you may have with us (for example, if you contact us by phone or email). Whenever you do business with InfoXtreme inc. or interact with us in any way, you are protected by the rights and safeguards set out in this privacy policy, and you expressly accept its terms.
3. DEFINITION OF PERSONAL INFORMATION
“Personal information” is defined broadly and includes any information about an identifiable individual as well as any technical information collected automatically. Aggregated or anonymous information is not considered personal information.
For the purposes of this privacy policy, “personal information” means any information about an identifiable individual. This may include, for example, your name, contact details, email address or information about the account you have created with us. It may also include other types of technical information, such as the IP address of website visitors or browsing history on our website, but only where such information can identify you personally. Aggregated information that cannot be linked to an identifiable individual is not considered personal information.
4. COLLECTION OF PERSONAL INFORMATION
As a general rule, we collect personal information directly from you, for example when you register or create an account on our website. We may also collect information automatically through our website, although this information does not necessarily identify you as an individual.
Information you provide directly:
When you interact with us, in most cases we collect personal information directly from you, including:
- Your contact details, such as name, email address, mailing address, telephone number and mobile number when you place an order on our website, create an account, subscribe to our newsletter, ask a question or contact us through our website or otherwise (for example, by phone or email);
- Any personal information contained in a document you provide to us.
Information collected automatically:
- When you visit our website, we may automatically collect information that does not necessarily identify you as an individual. For example, we may collect the following types of information:
- Browser, device and technical information. When you visit our website, we may collect technical information by electronic means such as cookies. This may include information about your visit or use, including the IP address of your device or computer (i.e. the number automatically assigned to your device or computer when you access the Internet, which can sometimes be used to determine your general geographic location) and the browser used to access our website, your operating system, your screen resolution, your location, browser language settings, the site you were previously browsing, search keywords (if you used a search engine), the number of pages viewed, as well as the information you entered and the advertisements you viewed. You can block the use of cookies by enabling the appropriate settings in your browser. In most browsers, the help function will tell you how to prevent your browser from accepting new cookies, how to have your browser notify you when you receive a new cookie, or how to disable all cookies. If you choose to refuse cookies or block them later, you may not be able to access the content of our website or parts of it. In addition, you can disable or delete similar data used by browser add-ons by changing the add-on’s settings or visiting the manufacturer’s website.
- Google Analytics.
We use Google Analytics, which allows us to obtain information about users’ online activities, including pages viewed, source and time spent on our website. This information is de-identified and displayed as figures, which means that it cannot be traced back to individuals. You can opt out of Google Analytics by visiting the Google Analytics opt-out page.
4.1 CALL RECORDINGS
InfoXtreme’s IP telephony service includes call recording. A recording contains the voices of the people taking part in the call, including people who are not InfoXtreme clients.
These recordings are kept on servers located in the United States, in the data centres of InfoXtreme’s hosting provider. InfoXtreme accesses them only at the request of the client concerned or for the needs of the service, and communicates them to no other third party unless the law requires it. Section 9 describes this communication outside Quebec.
The client who subscribes to the service determines how this feature is used and remains responsible for informing the people whose calls are recorded. The retention period, how to request a shorter one and how to disable recording are described in section 8 of the IP telephony service terms.
Administering the phone system technically provides access to recordings. The monthly retrieval described in the next section opens none of them, and access leaves a trace in the system logs.
4.2 CALL RECORDS
Each client’s phone system keeps a call log. For each call, this log shows the date, the calling and called numbers, the duration and the direction of the call. It does not contain the content of conversations. Like recordings, it also concerns people who are not InfoXtreme clients.
InfoXtreme retrieves this log every month, automatically, for two reasons: to measure the minutes billed to the client and to verify that the service is working properly. No decision concerning a person is made on the basis of this processing.
The records are kept on servers located in the United States, in the data centres of InfoXtreme’s hosting provider. How minutes are measured is described in section 5 of the IP telephony service terms.
4.3 OUR PHONE SYSTEM AND OUR AUTOMATED ASSISTANT
This section describes how the calls you make to InfoXtreme are processed. It is separate from section 4.1, which covers the recording service sold to our clients: in that case, it is the client who determines how the feature is used. Here, InfoXtreme is responsible.
Calls to our offices are recorded. Our phone system keeps a recording of calls, with the calling number, the called number, the time and the duration. These recordings are used to find what was agreed during a call and to improve the quality of our service. The audio stays on our servers.
An automated assistant answers a single line. It does not answer calls to our offices. Its own calls, incoming and outgoing, are also recorded by our phone system, and it announces at the start of each call that the call is recorded. When you speak to this assistant, what you say is transcribed on our own servers, located in the United States, in our hosting provider’s data centres. The resulting text is then sent to our artificial intelligence provider so that the assistant can compose its reply, and that reply is sent to a speech synthesis provider to be spoken. These providers are located outside Quebec, which means that the laws of their jurisdiction apply to these exchanges. Section 9 describes what this implies.
This assistant may also listen to the recordings of our offices. It does not answer these calls, but it has access to all of their recordings and may listen to them for the same purposes. When it processes one, the recording is transcribed on our own servers, in the United States, and the resulting text may be sent to the artificial intelligence provider described in the previous paragraph.
What does not leave our servers. The sound of your voice. What is sent to these providers is text, never audio.
If you prefer not to speak to the assistant, say so during the call and a person will take over.
5. USE OF PERSONAL INFORMATION
We may use your personal information to provide our services, for our own internal purposes and for marketing and advertising purposes, although the latter is subject to your right to withdraw your consent as provided in this policy. We may also anonymize or aggregate personal information so that it no longer identifies individuals, and use it for any lawful purpose.
In general, InfoXtreme inc. uses personal information to provide its services to its clients. For example, we will use your contact details and information about your InfoXtreme inc. account to process your request and communicate with you about your order. We will also use your personal information to verify your identity if you contact us by phone or otherwise.
Always in compliance with applicable laws, we may also use your personal information for the following purposes:
- For internal training, quality assurance, risk management and the detection of fraudulent acts, or to meet our legal and regulatory requirements;
- To understand and assess the changing interests and needs of our clients in order to offer personalized services, improve our services and develop new ones;
- Subject to your right to withdraw your consent as provided in this privacy policy, to contact you to send you advertising and marketing messages such as promotional codes, including through our newsletter, or to conduct surveys on the quality of our services or customer service. Where possible, rather than using personal information, we will anonymize or aggregate it so that it no longer identifies individuals, and use it for the purposes mentioned above or for any other lawful purpose.

We may also disclose information to our accountants, auditors, agents and lawyers in connection with the enforcement or protection of our legal rights. We also reserve the right to report any activity that we believe in good faith to be unlawful to law enforcement or the police in an emergency, or where permitted or required by law. We may disclose certain personal information if we have reasonable grounds to believe that disclosure is reasonably necessary to protect our rights, property, safety and that of others, in accordance with the law or where permitted by law.
